Epicflow’s new Portfolio Optimiser enters trials with the Dutch

As geopolitical pressure intensifies across Europe, defense organizations are under increasing pressure to deliver complex programs faster and more efficiently. Responding to this challenge, Epicflow has begun trialling its new AI-powered Portfolio Optimizer with the Dutch Ministry of Defense, aiming to improve the planning, prioritization and on-time delivery of critical defense initiatives.
Even as defense budgets increase, program leaders still struggle with on-time delivery. This observation became the basis for developing Epicflow Artificial Intelligence Portfolio Optimizer Epicflow’s recently released AI-powered functionality (EPO) focused on prioritizing and scheduling jobs based on actual resource constraints and projected business value. EPO is designed to help organizations align their strategies with actual capacity and make data-driven decisions about where to focus their limited resources. Its main idea is not to do more, but to capture more value than companies already have.
“There must be a shift in thinking from “doing it all” to doing what really matters,” states Ben Rawson, portfolio management expert and strategic partner at Epicflow. “EPO helps leaders clearly identify which projects deserve investment and ensures that every hour contributes measurable value.”
To test this approach in practice, Epicflow partnered with a major defense program run by the Dutch Ministry of Defence. The collaboration involved an experiment within a $1 billion multi-year program that faced major delays across multiple initiatives. Epicflow was implemented in the first set of projects to test whether the portfolio optimization approach could improve results in this highly complex environment.
The first results were remarkable. Project delivery times have been shortened by more than 30 percent and deadline performance has been improved by up to 300 percent; Moreover, we achieved all of this without an increase in the number of personnel. The experiment was considered a great success by the MOD: the highest value projects were able to be delivered 400 days earlier than previously expected.
Reflecting on the experiment, Dr. Ponsteen says:
“We didn’t force teams to work harder. We changed the prioritization of work. When you align portfolio decisions with business value and real resource constraints, overload is eliminated and performance increases dramatically. So the real question in portfolio management is not how much budget you have. It’s whether your limited resources are focused on the projects that deliver the greatest value.””
In the current global context, the ability to deliver faster using existing resources is becoming strategically important for defense organizations and other mission-critical industries. Value-focused and resource-centric prioritization is becoming the key to improved performance and faster delivery, with the EPO providing structured support for implementing this approach.
